Privacy Policy

This policy explains what information the Latinx Games Festival collects through latinxgamesfestival.com, why we collect it, and what we do with it. The Latinx Games Festival also produces the Latinx Game Awards, which has its own policy at latinxgameawards.com/privacy-policy/. If you have a question about anything here, email jason@kasonmedia.com.

What we collect

  • Information you send us in a form. Game showcase submissions, speaker proposals, press and influencer applications, community votes, and sponsorship enquiries are collected through forms hosted by Google Forms. Depending on the form, this can include your name, email address, pronouns, country, studio or employer, links to your work, and whatever you choose to write in free text fields.
  • Ticket and registration information. Tickets and event registration are handled by Eventbrite. Eventbrite collects your name, email address, and payment details under its own privacy policy, and shares your name and email address with us so we can manage attendance.
  • Meeting bookings. If you book a call with us through Google Calendar appointment scheduling, Google collects your name and email address and shares them with us so we can hold the meeting.
  • Information you send us by email. If you email us, we keep the message and your address so we can reply and, where you have asked to be kept informed, so we can send you announcements.
  • Photos and video at events. Our in-person events are photographed and filmed. If you attend, speak, exhibit, or appear on stage, your image and voice may appear in our recaps, social media, and promotional materials. Tell a member of our team on site or email us if you would prefer not to be featured, and we will make reasonable efforts to accommodate that.
  • Basic technical information. Like most websites, our host records standard server logs, including IP address, browser type, and the pages requested. We also use Google Analytics and Jetpack site statistics to understand how the site is used. See the cookies section below.

How we use it

  • To review game showcase submissions, speaker proposals, and press applications, and to contact the people who sent them.
  • To manage ticketing, registration, and attendance at our events.
  • To respond to sponsorship, partnership, and press enquiries.
  • To send announcements about the festival to people who asked to receive them.
  • To publish the names of featured games, speakers, exhibitors, and award recipients. If you are selected, your name, your work, and your country may appear on this site, at the event, and in related materials.
  • To keep the website secure and running.

What we do not do

We do not sell your personal information. We do not share it with sponsors, partners, or anyone else for their own marketing. We do not use it for automated decision making.

Who processes data on our behalf

Form submissions are processed by Google through Google Forms, email is handled by Google Workspace, ticketing by Eventbrite, meeting bookings by Google Calendar, and site analytics by Google Analytics and Jetpack (Automattic). The website is hosted by SiteGround. These providers process data on our behalf under their own terms and security practices.

Cookies

This site uses cookies that are necessary for it to function, and cookies set by WordPress when you log in as an administrator. Google Analytics and Jetpack set cookies to measure visits and page views. You can block these in your browser settings or with a browser extension, and the site will still work. Embedded content from other sites, such as video, maps, or forms, may set its own cookies, which are governed by that provider.

How long we keep it

Submission and application records are kept for the event they relate to and for a reasonable period afterwards, so we can maintain an accurate historical record of featured games, speakers, and participants. Enquiries and mailing list subscriptions are kept until you ask us to remove them.

Your choices

You can ask us what information we hold about you, ask us to correct it, or ask us to delete it. You can ask to be removed from any list at any time. Email jason@kasonmedia.com and we will action it. If you have already been publicly announced as a featured developer, speaker, or award recipient, we may keep that public record, but we will remove your contact details.

Children

This site is intended for adults working in or entering the games industry. We do not knowingly collect information from children. Where an event is open to all ages, a parent or guardian is responsible for any registration on a minor’s behalf.

Changes

If this policy changes, the updated version will be posted on this page.
